AI Automation ROI Calculator
Will an AI agent or automation pay for itself? Enter how often a task happens, how long it takes and what staff time costs. You get hours saved, monthly savings, the payback period and the first-year return. No email needed.
Your estimated return
Counts staff time only. Faster replies, 24/7 cover and fewer errors are left out, so the real return is often higher. A guide, not a promise.

- Hours saved = tasks per month × minutes per task × (share handled fully + share left × time saved on the rest) ÷ 60.
- Value of time saved = hours saved × staff cost per hour.
- Net benefit per month = value of time saved − running cost per month.
- Payback period = build cost ÷ net benefit per month.
- First-year return = (12 × net benefit − build cost) ÷ build cost.
How to get honest numbers
- Count, do not guess. Take task volumes from your help desk, inbox or phone system for the last three months.
- Time a sample. Time 20 real tasks from start to finish, including looking things up and writing notes.
- Be careful with the automation share. Start low for a first version and raise it once you have pilot results.
- Include all running costs. AI usage, hosting, support and the time someone spends reviewing the agent each week.

Frequently asked questions
- What is a good payback period for an AI project?
- There is no fixed rule. A first project that pays back within a year is easier to approve. If the calculator shows much longer, start with a smaller, higher-volume task.
- Why does the calculator only count staff time?
- Staff time is the easiest benefit to measure and check after launch. Other benefits, such as more leads answered out of hours, are real but harder to price, so we leave them out rather than overstate the return.
- Does an AI agent replace staff?
- Usually not at first. Most teams use the hours saved for work that was waiting, such as faster follow-ups or better service, and then decide how to plan staffing.
- Is my data saved?
- No. The calculator runs in your browser and nothing you enter is stored or sent to us.
